Getting started
What is Swops?
Swops is a phone-first app for people who meet others face to face, at exhibitions, conferences and meetings. Scan a business card or event badge and the contact is saved into a collection, with your priority and notes. One tap more and AI researches the business behind the card. See Swops in two minutes.
Do I need to download an app?
No. Swops runs in your browser at app.swops.ai, on your phone and on your laptop. On the phone you can add it to your home screen in a few taps, and it then opens full screen like any other app. See Add Swops to your home screen.
Is there an iPhone or Android app?
Not in the App Store or Google Play. Swops installs straight from the browser on iPhone and Android, sits on your home screen with your other apps and updates itself. See Add Swops to your home screen.
Is Swops free to try?
Yes. Every new account starts with a free trial: 30 days, 10 scans, 2 AI analyses and one private collection, with no credit card. See The free trial.
Can I use Swops on my laptop?
Yes, in any up-to-date browser. The laptop layout shows all your contacts in one table and gives more room for briefs, exports, your team and billing. Scanning cards happens on the phone. See What you can do on the phone and the laptop.
Does Swops work offline?
No. Swops is online only: cards are read online and contacts are saved straight to your workspace, so your team sees them at once. On overloaded venue Wi-Fi, mobile data or a hotspot usually helps. See Poor connection at the venue.
Which languages does Swops support?
The app, its emails and the briefs are in English. Cards in other languages and alphabets are read too: names, titles and addresses are kept exactly as printed, not translated. See Cards in other languages and scripts.
Can I use Swops for personal networking?
Yes. Swops is made for business contacts, but Solo works for anyone who meets people and wants to remember them, in a private space of their own. Whoever you scan, you decide how their details are used, so use them the way they would expect. See Privacy for the people you scan.
Who is behind Swops?
Swops is made by Codeiac Single Member SA, a company in Greece (Kyriazi 6-8, 14562 Kifisia). Payments are sold through Link, an affiliate of Stripe, which acts as merchant of record. See Who is Link, and why is it on my bill?.
Scanning cards and badges
How do I scan a business card?
Tap Scan in the middle of the bottom menu, check the collection shown at the top, tap Scan Card and take the photo. A moment later the contact opens with Contact saved. See Scan a business card.
Does Swops scan event badges?
Yes. Conference and exhibition badges are scanned just like business cards. Fill the frame with the printed name and company, and add an email address afterwards if the badge does not show one. See Scan an event badge.
Can I scan cards on my laptop?
No. Card scanning is a phone feature, so the laptop has no Scan button. On the laptop you can add contacts by hand, with a photo of the card attached if you like. See What you can do on the phone and the laptop.
Can I scan a photo I already took?
Yes. In the scan sheet, tap Upload a photo and pick it from your library. See Scan a business card.
How accurate is the card reading?
Swops is built to copy only what is printed, not to guess missing details. Anything it was unsure about is marked Check this detail · it was hard to read on the card, so you know what to look at. AI can still misread small print, so glance over the details that matter. See Check and correct a scanned contact.
What counts as a scan?
One card or badge read successfully and saved as a contact. A card already in the same collection, a photo that is not a card, a read that fails, manual entry and exports are all free. See What uses a scan, and what is free.
What happens if I scan the same card twice?
If the person is already in the same collection, Swops opens the contact you have and shows Already in this collection · no scan used. Other collections are not checked, so the same person can be in two collections. See “Already in this collection”.
Can I add a contact without scanning?
Yes. Tap Enter manually in the scan sheet, or Add contact manually on a collection. It is always free, works on the phone and the laptop, and you can attach a photo of the card. See Add a contact by hand.
A scan did not work. Was I charged?
No. A scan uses one of your scans only when a contact is saved; refused photos and failed reads are given back automatically. The message in the scan sheet says what happened and what to do. See A scan did not work.
Contacts and collections
What is a collection?
A list of contacts for one occasion: a trade show, a conference, a client group. Every contact belongs to one collection, and new scans go to the collection shown at the top of the scan sheet. See How collections work.
Can I move a contact to another collection?
Not at the moment: a contact stays in the collection it was saved to, so check the destination at the top of the scan sheet before you scan. If one landed in the wrong place, add it by hand in the right collection (free), copy your notes across and delete the original. See Choose where new contacts go.
Can two people scan the same visitor?
Yes. In a shared collection, if a colleague already scanned that person, your scan opens their contact instead of creating a second one, and uses no scan. Add your own line to the notes so the team keeps one contact with the whole story. See “Already in this collection”.
How do I find a contact?
Open the collection and type in the search box: it looks through names, companies, email addresses, job titles, notes, phone numbers and countries. You can also filter by priority. On the laptop, View all searches every collection at once. Opening a collection from Collections also makes it the one new scans go to (Choose where new contacts go). See Find a contact.
How many collections can I have?
The free trial has one at a time, Solo up to 3 active at a time, and a Team Pass 3 per pass, plus 3 with each renewal. Business has unlimited collections. See How many collections you can have.
What happens when I archive a collection?
It becomes read-only: you can still open, search and export it, and restore it while your plan is active. On Solo and the free trial archiving frees a slot; on a Team Pass it does not. See Rename, archive and restore a collection.
Can I delete a collection?
There is no delete button for collections. Archive one you have finished with to make it read-only, or delete contacts one by one. See Rename, archive and restore a collection.
AI business analysis
What is in a brief?
An overview and key facts about the business, what stands out, recent news, why it may matter to you (once you have added your company context), a closing section in more depth when sources allow, and the sources it all comes from. See What is in a brief.
Where does the research come from?
From public web sources, researched live when you ask: the company’s own website first, then news from the last two years. Every brief lists its sources and links its facts to them. The research is done by AI models from companies in the United States, under EU safeguards. See Check the sources.
Is the AI always right?
No. AI can make mistakes: it can misread a source, or mix up two businesses with similar names. A brief is a dated snapshot with its sources listed, so check the source before you rely on an important detail. See Check the sources.
How long does an analysis take?
A quick look appears within seconds and the full brief usually within a minute or two. You can close it and carry on: the research continues and the brief is saved with the contact. See A business analysis is taking long.
Does Swops research the person on the card?
No. Swops researches the business, not the person. The research receives the company name, website and country, never the contact’s name, email address, phone numbers or notes. A brief can still mention people named in public sources about the business, such as its founders. See What the AI sees.
What does an analysis cost?
One analysis from your allowance for each new research. Reopening a saved brief is free, for everyone in the workspace and from any contact at the same business. If the research does not complete, the analysis is given back. See What uses a scan or an analysis.
Are briefs updated automatically?
No. A brief is a snapshot of the day it was made, and briefs a month old or more show their age. When you need the latest, open the brief from the contact and tap Research again · 1 analysis. See Research a business again.
What is company context?
A short profile of your own company: what you offer and who you serve. Once you confirm it, each new brief adds a section on why that business could matter to you. Drafting it from your website is free. See Add your company context.
My card and follow-up emails
What is My card?
Your own contact details as a QR code. Anyone can point their phone’s camera at it and save your details, with no app needed. Set it up once, by scanning your own card or typing your details. See Set up My card.
What is the instant follow-up email?
In Team Pass and Business workspaces, Swops can email your details to the person whose card you have just scanned, sent as “your name via Swops” with your own message. It is off until you switch it on. It is not available on the free trial or Solo. See The instant follow-up email.
Who gets the follow-up email?
Only a person whose card or badge you scan into a Team Pass or Business workspace, when the card shows an email address and the scan saves a new contact. Never contacts you add by hand, duplicates or your own address, and each person gets it from you only once. See When the follow-up email is sent, and when it is not.
Can I undo a follow-up email?
No. It goes out right after the scan and cannot be called back. If you are about to scan someone who should not receive it, switch the follow-up email off first in Account›Follow-up email. See When the follow-up email is sent, and when it is not.
Teams and workspaces
How many people can use a Team Pass or Business?
A Team Pass is for up to 5 people and Business for up to 10, counting the owner and pending invitations. Everyone shares one allowance and the same collections. See Team size and seats.
What is the difference between my personal space and a company workspace?
Your personal space is private to you and runs on the free trial or Solo. A company workspace is shared with your team and runs on a Team Pass or Business. Contacts, research and allowances never move between them. See Personal space and company workspaces.
Can I be in several teams?
Yes. You can join every company workspace you are invited to, and create your own. Each one has its own collections and allowance; switch with the workspace name at the top of the app. See Switch between workspaces.
How do I invite colleagues?
As the owner, open Team members, type a colleague’s email address and tap Send invitation. They join by signing in with that address within 14 days, or with the invite link. See Invite your team.
Is there a free trial for teams?
No. A company workspace starts with a Team Pass or Business. To try Swops first, use the free trial in your own personal space. See The free trial.
What is only for the workspace owner?
Plans, payments, top-ups, renewals, invitations, removing members and renaming or deleting the workspace. Members can do everything else: scan, edit and delete contacts, research, export, manage collections and company context, and see purchase history. See Owners and members: who can do what.
What happens to contacts when someone leaves the team?
They stay with the workspace. A member who leaves or is removed loses access straight away, and the contacts they captured remain for the rest of the team. See Remove a member or leave a workspace.
Plans and pricing
How much does Swops cost?
Solo costs €4.90 a month or €49 a year. A Team Pass is €119, paid once for 12 months. Business costs €99 a month, or €79 a month billed yearly (€948 a year). Everyone can start with the free trial. See Plans at a glance.
Which plan is right for me?
Solo if it is just you. A Team Pass for a team at one event or a few, with one payment for up to 5 people. Business for teams that meet people all year round, for up to 10 people. See Plans at a glance.
Is VAT included?
Euro prices include VAT: the price you see is the price you pay. In US dollars the numbers are the same, and any sales tax is added at checkout. See Currency, VAT and sales tax.
Can I pay in US dollars?
Yes. Switch to $ USD in the Plans sheet before a workspace’s first payment. The numbers are the same in US dollars, and any sales tax is added at checkout. A workspace keeps the currency of its first payment. See Currency, VAT and sales tax.
Can I pay annually?
Yes, for Solo (€49 a year, saving €9.80) and Business (€948 a year, which works out at €79 a month and saves €240). Your allowance still refreshes every month. A Team Pass is always a single payment for 12 months. See Monthly or yearly billing.
What happens to unused scans and analyses?
On Solo and Business, unused included allowance rolls over, up to three months’ worth. A Team Pass allowance lasts as long as the pass, and top-ups last 12 months. The free trial’s allowance ends with the trial. See Rollover and expiry.
Are scans and analyses unlimited on Business?
No. Business includes 2,000 scans and 100 analyses each month, shared by the whole team. What is unlimited on Business is the number of collections. See Plans at a glance.
What if I run out of scans or analyses?
Add a top-up: 500 scans for €39, 25 analyses for €15 or 100 analyses for €49. Top-ups last 12 months, need an active paid plan and are bought by the workspace owner. Manual entry stays free meanwhile. See Top-ups.
Does a Team Pass renew automatically?
No. A Team Pass is one payment for 12 months and never renews by itself. The owner can renew it at any time, also in the 30 days after it ends, for 12 more months and a fresh allowance. See Renew a Team Pass.
Do you have discount codes?
If you have a code, enter it in the secure checkout under Add promotion code. The total updates before you pay. See Discount codes.
Billing and payments
Who charges my card?
Link, an affiliate of Stripe, sells Swops as the merchant of record. It charges your payment method, collects any VAT or sales tax and emails your receipt. On your statement the charge comes from Link (LINK.COM), on behalf of Codeiac, the company behind Swops. See Who is Link, and why is it on my bill?.
How do I get an invoice?
Open Account›Purchase history and tap Invoice (PDF) next to the payment. Link also emails a receipt and an invoice for every payment. Every member of a workspace can download them. See Invoices and receipts.
How do I cancel my subscription?
The owner taps Cancel renewal in Account, or cancels at link.com. You keep using the plan until the end of the period you paid for, then have 30 days to view and export. A Team Pass never renews, so there is nothing to cancel. See Cancel or resume a subscription.
Can I get a refund?
Payments are generally not refundable, for example for a change of mind or unused allowance. The exceptions include the 14-day right of withdrawal for consumers in the EU, the EEA and the UK, duplicate or unauthorised payments, and payments Swops could not apply, which are refunded automatically. Ask Link or contact us. See Refunds.
How do I change the card I pay with?
For an active Solo or Business subscription, the owner taps Manage payment method in Account. A Team Pass has no payment method to manage: each renewal is a new payment, and you choose how to pay then. See Update your payment method.
What happens if a renewal payment fails?
The workspace becomes read-only (Export only) straight away while Link tries the payment again. You can update your card at app.link.com. Once a payment goes through, full access comes back by itself. See When a renewal payment fails.
Can I switch from a Team Pass to Business?
Yes, at any time. Business starts straight away at its full price, and what is left of your Team Pass allowance keeps its own expiry. Moving from Business to a Team Pass is possible once the Business period has ended. See Change your plan.
Your data and privacy
Where is my data stored?
Your account, contacts and card photos are stored in the EU (Ireland), and the app itself runs in the EU. Card reading, research and email go through providers in the United States, under EU safeguards. For the current list of providers, contact us. See Where your data is stored.
Is my data used to train AI?
Swops uses what you add only to provide Swops to you, as our Data Processing Terms set out. Each AI task receives only what it needs, such as the card photo for reading or the company name and website for research. For the current list of AI providers, or any question about how they handle data, contact us. See What the AI sees.
Who can see my contacts?
In your personal space, only you. In a company workspace, every member of that workspace. Personal spaces and company workspaces are kept apart, and nothing moves between them. See Personal space and company workspaces.
How long do you keep my contacts?
As long as your plan is active, archived collections included. When a paid plan ends you have 30 days to view and export, and then the contacts are deleted. Free trial contacts are deleted when the 30 days end, with no export window. See What happens when a plan ends.
How do I get my contacts out of Swops?
Export them to a CSV file for Excel, Numbers, Google Sheets or your CRM, with the AI analysis if you like. One collection or the whole workspace, free, and also during the 30 days after a plan ends. See Export contacts to a CSV file.
Does Swops connect to my CRM?
There is no direct connection to a CRM. Export your contacts to CSV and import the file with your CRM’s own import tool: most CRMs accept CSV files. Step-by-step guides cover HubSpot, Salesforce, Pipedrive and more. See Prepare your Swops export for a CRM.
Is there an API?
No. Swops has no public API for customers. The CSV export is the way to take your contacts and briefs into other tools. See Export contacts to a CSV file.
What about the people whose cards I scan?
You, or your organisation, decide how their details are used, and Swops processes them on your behalf. If someone asks Swops about their details, we pass the request on to you where we can identify you. See Privacy for the people you scan.
Are card photos kept?
A copy of each card photo is kept privately with the contact and deleted with it. The photo of your own card for My card is read and not kept. See Card photos: what is kept and where.
Account and sign-in
Why is there no password?
Swops signs you in with a 6-digit code sent to your email address, valid for one hour. There is no password to forget, reuse or leak. See Create your account and sign in.
My sign-in code has not arrived. What now?
Check your spam folder, wait a minute and tap Send a new code. Always use the code from the latest email. See The sign-in code has not arrived.
Do I have to sign in every time?
No. You stay signed in on each phone and browser until you sign out. On iPhone, the app on your home screen asks you to sign in once more after you add it. See Staying signed in.
Can I change my email address?
Not in the app. Your email address is how you sign in, and only your name can be changed. If you need to move to another address, contact us with your current one. See Change your email address.
Does Sign out sign me out everywhere?
Yes. Sign out ends your sign-in on all your devices, not only the one you are holding. Other devices ask you to sign in again within about an hour. See Sign out.
Can I delete my account?
Yes: Account›Delete my account. It deletes your personal space with its contacts, My card and your follow-up settings, and cannot be undone, so export first. If you own a company workspace, delete that first. See Delete your account.
