Before you start
Export the collection from Swops (Export contacts to a CSV file) and prepare the file as described in Prepare your Swops export for a CRM: Bitrix24 keeps first and last names in separate fields, so split Name, and remove the apostrophe in front of international phone numbers. Only Bitrix24 administrators, or users whose CRM role allows it, can import. Contacts are linked to companies by name, and only to companies that already exist in your CRM, so import companies first if you need those links.
Import the file
Go to CRM > Customers > Contacts.
Click Settings (the gear) and select Import custom CSV data.
Bitrix24 offers an example file to fill in. Download it to see its field names; you can also upload the Swops file and match its columns in step 5.
Upload your CSV. Set Field delimiter to the comma: Swops files are comma separated, while Bitrix24’s own example uses semicolons. Click Next.
Check the mapping. Bitrix24’s contact fields are on the left, your file’s columns on the right. Where a field is matched wrongly or left empty, click Select or Edit and choose the right column. Click Next.
Under Duplicate control, choose what happens to people already in your CRM, and which fields count as a match (email and phone are the safest).
Wait for the import to finish, then click Close, or Import new file for the next collection.
Open a few contacts to check them. A linked company shows in the contact’s Company field and on the Dependencies tab.
Duplicate control options
| Option | What it does |
|---|---|
| Allow | Imports every row, even people already in the CRM |
| Replace with new data | Overwrites existing contacts with the values from the file |
| Merge | Fills only the empty fields of existing contacts |
| Skip | Leaves existing contacts alone and gives you a list of the skipped rows |
Which column goes where
| Swops column | Bitrix24 contact field |
|---|---|
| First name, Last name | The first name and last name fields |
| Name (the original column) | Leave unmapped |
| Company | Company (links to an existing company with exactly the same name) |
| Role | The position field |
| The work email field | |
| Phone | The work phone field |
| Mobile | The mobile phone field |
| Website | The website field |
| Another website field, or a custom field | |
| Address, Country | The address fields |
| Priority | A custom list field with Hot, Warm, Cold and Unrated |
| Notes | The comment field |
| Business analysis, In more depth | Custom text fields, or leave unmapped |
| Collection | A custom field, or leave unmapped |
| Captured, Research date | Leave unmapped, or custom date fields |
The exact field names depend on your Bitrix24 language and setup; the example file in step 3 lists them.
Good to know
- CSV only. Bitrix24 imports CSV files. Swops exports exactly that.
- Wrong delimiter, jumbled fields. If the mapping screen shows everything in one column, go back and check Field delimiter. Opening the file in Notepad or TextEdit shows which character separates the values on the first line.
- Company names must match exactly. "Hollinmoor Dairies Ltd" in the file will not link to "Hollinmoor Dairies" in your CRM. Fix one or the other before importing.
- Test first. Bitrix24’s guide does not describe undoing an import, so import two or three rows first and check them.
